The employee record at the centre of your people operation.

The HR module currently covers two core areas: employee profiles and payroll configuration. Employee records are built on a configurable field framework, meaning every data point your business needs is captured without cluttering the system with fields that are not relevant to your operation.

Payroll configuration lives in HR. Salary values, allowances, deductions and statutory status entries for EPF, SOCSO, EIS and PCB are all managed here, with an effective date driven entry model that preserves the full configuration history and ensures every payroll run calculates correctly based on the status that was active at the time.

Employee Profile

Every employee record captures personal details, employment information, emergency contacts and statutory data. The record structure is configurable — additional fields specific to your industry, jurisdiction or internal tracking requirements are added through the custom field system. Country-specific field templates can be deployed in bulk, making the system appropriate for businesses operating across multiple jurisdictions.

Custom fields work the same way across every module in Cloudby — not an HR-exclusive feature.

Payroll Configuration

Salary values, allowances, deductions, recurring payroll items and statutory status entries are configured per employee. Each entry carries an effective date — changes are recorded as new entries rather than overwrites, preserving the full history. HR configures these values without access to processed payroll batches or individual payslip amounts.

This clean separation between configuration access and payroll visibility is a deliberate privacy design — HR staff set up the rules, payroll admins process the runs.

System-wide

Organisation structure, when configured, drives approval routing and reporting segmentation across all modules. Manager approvals follow the reporting lines defined here without separate configuration in each module.
