Payroll configuration lives in HR. Salary values, allowances, deductions and statutory status entries for EPF, SOCSO, EIS and PCB are all managed here, with an effective date driven entry model that preserves the full configuration history and ensures every payroll run calculates correctly based on the status that was active at the time.

Employee Profile
Every employee record captures personal details, employment information, emergency contacts and statutory data. The record structure is configurable — additional fields specific to your industry, jurisdiction or internal tracking requirements are added through the custom field system. Country-specific field templates can be deployed in bulk, making the system appropriate for businesses operating across multiple jurisdictions.
Custom fields work the same way across every module in Cloudby — not an HR-exclusive feature.

Payroll Configuration
Salary values, allowances, deductions, recurring payroll items and statutory status entries are configured per employee. Each entry carries an effective date — changes are recorded as new entries rather than overwrites, preserving the full history. HR configures these values without access to processed payroll batches or individual payslip amounts.
This clean separation between configuration access and payroll visibility is a deliberate privacy design — HR staff set up the rules, payroll admins process the runs.

Time-based historical document versioning with expiry tracking and compliance notifications for required documents — employment contracts, permits, certifications and statutory forms organised by type and date.
Organisation Structure
Department and reporting line management connected to approval routing and payroll batch scoping. The organisation structure drives how approvals work across every module.
Lifecycle and Orchestration
Structured onboarding and offboarding checklists ensuring every lifecycle event — joining, role change, resignation, termination — is handled completely and consistently with assigned tasks tracked to completion.

Every payroll configuration entry in HR feeds directly into payroll calculations. Changes with the correct effective date take effect in the next relevant run automatically — no manual handoff required.
Workplace
Employee records connect to each employee’s Workplace dashboard, giving staff access to their own payslips and self-service information once the Workplace module is active.
System-wide
Organisation structure, when configured, drives approval routing and reporting segmentation across all modules. Manager approvals follow the reporting lines defined here without separate configuration in each module.
