Workplace is a reserved part of the Cloudby platform: an employee-facing workspace on our long-term roadmap. When it arrives, it will give every employee a dedicated space to manage their own working day without needing access to the full back-office system. Nothing in Workplace is live today.

On the roadmap

Expense Reimbursement

Workplace will let employees submit expense claims from their own dashboard, with receipt attachments, category selection and supporting notes, and follow each claim through a structured approval workflow (managerial acceptance followed by finance verification) with status visible at every stage.

Today, staff expense claims are handled inside Bookkeeping Essentials by back-office users; employee self-service access through Workplace is what is on the roadmap. When it arrives, approved claims will post through the Finance module without re-entry, settled standalone or consolidated into a payroll batch.

On the roadmap

Payslip Access

Workplace will give each employee access to their own confirmed payslips, current and historical, without needing to contact HR or the finance team, and with no other employee’s data visible through the Workplace interface.

Today, payslips are produced by Malaysian Payroll and distributed by the business; employee self-service access through Workplace is what is on the roadmap. For payroll under Employment Act 1955 requirements, it will provide a clear, timestamped record of each confirmed batch.

These capabilities are part of the long-term Workplace roadmap. Each one is planned to build on the same employee workspace, not a separate system, and none of them is available today.

Operational Dashboard

A personal to-do list surfacing task assignments from any module: service jobs, document approvals, onboarding checklist items and process coordination tasks. One list, one place.

Approval Queue

For managers with direct reports: pending approvals for expense claims, leave applications, purchase requisitions and any document requiring sign-off, all accessible from the Workplace queue.

Leave Management

Leave application and approval workflow connected to payroll calculations. Leave balances by type, approval status tracking, and automatic feed into payroll processing on approval.

Timesheet

A basic start-stop timer for recording time against projects, jobs or tasks. Practical for businesses that need time records without electronic integration hardware.

Manager Team View

Team KPI summary, attendance and leave calendar, and field team status for businesses using the Service module: showing which technicians are on active jobs and their current assignment status.

Corporate Culture

Company announcements, team notices and internal communications published by HR or management. Visible to all employees in their Workplace dashboard.

Connected to your operation

Workplace will run on live data, not as a separate system.

Finance

Expense claims will flow into Finance for verification and payment posting without re-entry. Approval actions in the Workplace queue will update the document status in Finance immediately.

Payroll

Confirmed payslips will publish to each employee’s Workplace dashboard immediately after the payroll batch is confirmed. Leave approved in Workplace will feed into payroll calculations automatically.

HR

Leave balances, employment status and document access will be drawn from the HR employee record. Organisation structure will determine which employees appear in a manager’s team view.

Service

Job assignments and work orders will appear in the employee’s to-do list and the manager’s field team view when the Operational Dashboard is live.

The Employee

You will be able to submit expenses, track claim status and access your payslips without calling HR or the finance team, from any device, with no back-office access required and no shared logins.

The Business Owner

Self-service expense submission and payslip access will reduce the routine administrative burden on your HR and finance teams, and approval workflows will capture the business owner’s sign-off without paper-based processes.
